Introduction

These Terms & Conditions govern access to and use of the Knowledge Chatbot platform, an enterprise software-as-a-service product for organizational document intelligence and AI-assisted knowledge retrieval.

By creating an organization account or using the platform, you agree to these terms on behalf of your organization and as an authorized administrator or user.

Platform Usage

The platform is provided for legitimate business use within your organization’s subscription limits.

You must use the service in compliance with applicable laws and your internal policies. Feature availability may vary by subscription plan.

User Responsibilities

Administrators are responsible for managing user access, uploaded content, and compliance with these terms.

All users must safeguard credentials, report unauthorized access promptly, and use AI-generated outputs with appropriate human review.

AI Usage Disclaimer

AI responses are generated from your organization’s indexed documents and may be incomplete or inaccurate. Outputs do not constitute legal, medical, financial, or professional advice.

You are solely responsible for decisions made based on AI-generated content.

Data Ownership

Your organization retains ownership of documents and data uploaded to the platform.

We process your data solely to provide the service, maintain security, and improve reliability as described in our Privacy Policy.

Subscription & Billing

Paid plans, trials, and usage limits are defined at signup and in your billing dashboard.

Fees are billed according to your selected plan and billing cycle. Failure to pay may result in suspension of paid features.

Prohibited Usage

You may not use the platform to distribute malware, violate intellectual property rights, harass others, or attempt unauthorized access to systems or data.

Automated scraping, reverse engineering, or reselling the service without written consent is prohibited.

Intellectual Property

The platform, software, branding, and documentation are owned by us or our licensors.

These terms do not grant you ownership of our intellectual property beyond the limited right to use the service.

Account Suspension

We may suspend or terminate access for violations of these terms, non-payment, or security risks.

Upon suspension, you remain responsible for exporting data where permitted before deletion in accordance with our retention policies.

Limitation of Liability

To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential damages arising from use of the platform.

Our aggregate liability is limited to fees paid by your organization in the twelve months preceding the claim.

Service Availability

We strive for high availability but do not guarantee uninterrupted service.

Scheduled maintenance and unforeseen outages may occur. Enterprise plans may include separate SLA commitments.

Privacy & Security

Our Privacy Policy describes how we collect, use, and protect information.

We implement industry-standard safeguards including encryption in transit, tenant isolation, and access controls.

Termination

You may cancel your subscription according to billing terms. We may terminate accounts for material breach.

Upon termination, access ends and data is handled per our retention and deletion procedures.
